The preview is a paper document — it stays black on white in both site themes, and printing produces exactly this sheet.

A printable purchase order with buyer and vendor blocks, line items, tax, shipping and a live A4-style preview.

UNDERSTAND YOUR RESULTS

Purchase Order Generator — Printable POs with Line Items, Tax and Totals guide

Create a clean, professional purchase order in your browser: buyer and vendor blocks, an auto-suggested PO number, dates and payment terms, line items with per-row totals, one tax rate, shipping, and a live A4-style preview you can print, save as a PDF or download as a standalone file.

How to use this tool

  1. Fill in the buyer block — your company name, address and contact details — and the vendor block for the supplier you are ordering from. Whatever you type appears on the document as you type it.
  2. Check the PO number (a fresh one is suggested; edit it or press New for another), set the PO date and delivery date, and choose the payment terms and shipping terms.
  3. Add your line items: a description, quantity and unit price for each. Row totals, the subtotal and the grand total update live as you type.
  4. Set the tax rate (a single percentage applied to the subtotal — set it to 0 for a tax-free order) and the shipping cost.
  5. Send it out your way: Print / Save as PDF for a paper or PDF copy, Download .html for a standalone file you can email or archive, or Save draft to keep the form in this browser and finish it later.

A worked example

A small retailer orders stock from Bright Office Supplies: 2 office chairs at $250 and 3 desk lamps at $100 give a subtotal of $500 + $300 = $800. Tax at 8% adds $64 and shipping is $25, so the grand total on the PO is $800 + $64 + $25 = $889 exactly — the same $889 the preview shows before it is printed and sent.

What you can do with this tool

How it works

Each row total is quantity × unit price. The subtotal is the sum of all row totals; tax is that subtotal × the tax rate ÷ 100; the grand total is subtotal + tax + shipping. The on-screen preview is rendered from exactly the same values as the form totals, so the two can never disagree. Blank or non-numeric quantities and prices count as 0, so the document can never show NaN. The document itself is a fixed black-on-white sheet — the standard look for a business form — in both site themes and in print.

Frequently asked questions

What is a purchase order, and why send one?

A purchase order is the buyer’s formal instruction to a supplier: what is wanted, how many, at what price, delivered when, on what payment terms. It protects both sides — the vendor can plan and invoice against the PO number, and you have a written record of exactly what was agreed if the delivery or the bill differs.

How is the tax calculated?

One rate applied to the whole subtotal: tax = subtotal × rate ÷ 100. Shipping is added after tax and is not taxed. If your supplier taxes shipping or uses per-item rates, adjust the shipping figure or fold the difference into a line item so the grand total matches your agreement.

Can I change the PO number?

Yes — the number is only a suggestion. Type your own numbering scheme into the field, or press New to generate another suggestion in the PO-year-number format. Whatever is in the field is what prints on the document.

How do I get a PDF?

Press Print / Save as PDF and choose “Save as PDF” as the destination in the print dialog. The print layout outputs only the purchase order sheet itself — none of the form or page around it — in clean black on white.

Where is my draft saved?

In your own browser’s local storage, on this device only. Nothing is uploaded to a server. Press Save draft to store the whole form including line items, and it is restored automatically next time you open the tool in the same browser; Clear empties the form and deletes the draft.

Can I reuse the downloaded file?

Yes. Download .html saves a single standalone file with the finished purchase order and its styling inside — it opens in any browser, prints the same way, and can be attached to an email as the order record. Edit it later by reopening the tool rather than the file, so the totals stay calculated.
